A 10% ADMINISTRATION FEE WILL BE CHARGED FOR ANY CANCELLATIONS OR REFUNDS.

Early Bird Registration Terms & Conditions

Early Bird Registration for Homovember 2024/2025 will open on October 6th. Current members of VGVA (meaning you are signed up and registered for Sunday League in the 2024/2025 season) or Lifetime Members of VGVA are able to take advantage of Early Bird Registration. The individual who registers must meet the criteria as listed above. For example, a captain who is a lifetime member or a current member can register a team in a division, even if players on their team are not current members or lifetime members. A person who registers a team who is NOT a lifetime member or a current VGVA member, even if they have lifetime or current members on their team, will have their early bird registration denied and will be invited to join during general registration.

Spots will be reserved to those who register per timestamp on the form received. Once we have verified the individual submitting the registration, we will provide a payment to complete registration. You will not be considered as confirmed registered until such time you are sent a payment link. Payment links will be sent to teams per their registration timestamps, as if we do not see a demand for a division, we may decide to open more spots in the other division. It is possible that teams are waitlisted, which means they have submitted registration documents but are not yet sent a payment link to be confirmed. This will be the case where other teams have submitted registration documents ahead of other teams.

Individuals in the Early Bird Registration can only submit a registration for one division at a time, meaning if you want to play A on Saturday and BB on Sunday, it is recommended you find someone on your team to register who also meets the early bird registration criteria.

Rosters and how to submit them for verification, and confirming players skill level.

It will be in the interest of captains and their teams, if there are any questions as to suitability of a division or a player in a division (i.e. is a player on my team too strong for this division) to reach out to tournaments@vgva.com or chair@vgva.com to discuss that player’s eligibility ahead of time. It is within the rights of the VGVA Board to move teams or prevent a player from playing should they demonstrate at the tournament not to fit within the division the team has registered OR found to be sandbagging (see below).

Any instances of sandbagging (purposefully holding back or playing below genuine skill level only to revert to natural skill level during important matches like playoff’s or semi-finals, as one example) may result in that individual or team being ejected from the tournament and a forfeiture of tournament fees, will also be documented and kept on file for future reference for any captain or individual registering in future VGVA tournaments to protect the integrity of the tournament and VGVA’s commitment to good sportsmanship.

Teams will NOT be restricted from deciding to play up a division (e.g. a team full of intermediate players who decide they want to play in B or BB division).

General Registration

Captains who do not meet the criteria for Early Bird Registration are invited to register their teams on the 9th of October. All conditions described above apply to general registration, with the exception that registration for the tournament is open to all, members or non-members. General Registration will run until October 23rd.

Team Composition

  • Captains
    • You can play on more than one team (i.e. play on Saturday AND Sunday), but be captain for only one
    • If you plan to play on two teams, coordinate with your teammates so there’s a different captain
    • You cannot play for two teams on the same day (i.e. one player playing in the B divsion on two teams on Saturday)
    • Captains are responsible for submitting a roster and payment for your team
  • Teams in A division can be formed by players with NAGVA A rating, C4 and/or Open. This includes players who have played post secondary, who are expected to play in A division.
  • Teams in BB division should be primarily formed by players in C3 with a maximum of two C4 players, of which only one can be ranked NAGVA BB.
  • Teams in the B division should be primarily formed by players in C2 and C1 with a max of one player from C3.
  • Teams in C division should be primarily formed by players in all lower divisions—intermediate 2, intermediate 1, or beginner—with a maximum of one C2 player and one C1 player, or a maximum of two C1 players, (but not two C2 players).

Important Dates

October 6 – Early Bird Registration Opens (7pm Pacific)

October 9 – General Registration Opens (7pm Pacific)

October 23 – Registration closes, team payments are due, team rosters are due

Please note that in the event we sell out sooner, VGVA may close registration sooner to process payments and if there are teams waitlisted where space becomes available those will be actioned in the order that they were received.

Lunch

Lunch will not be provided, and team fees have been lowered in part as a reflection of that. Teams are encouraged to bring food to the venue, as we will endeavour as best we can to provide a lunch break for those teams who need to go off site for food. Lunch break will depend on pool play being kept on time.

To clarify and summarize

As we are uncertain what sort of demand we will have for the various divisions, we will do our best to accommodate as many teams as possible, whilst keeping in mind the value teams will get for playing in the tournament. What we will not aim to do is overload the divisions and dilute the amount of playing each team gets, unless there is a low demand for one division that we can justify opening more spots and taking away from another division. Please be reminded that your teams registration is only confirmed once you receive and pay tournament fees. If you do not receive a link for payment, then you have not yet been registered.

Questions can be directed to tournament@vgva.com for clarification.
